Part-time (FT Availability) Lead Manager VA for SaaS Software Company

Dear Virtual Latinos,

We’re looking to hire 2 VAs in the next 7 days through this job that the Virtual Latinos Agency is publishing on behalf of a new client.

Client & Short Job Description:
The client´s company sells a SaaS platform/software to debt-collection companies and industry, companies in charge of collecting debt.  This software is super customer friendly for the customer paying while being compliant with all the laws and regulations. It helps companies that collect debt to save time and money, by making the paying process easier, and more friendly. It makes it feel more like paying a regular bill, rather than “collecting debt”. Most of their customers are collection companies there are also a few banks and hospitals that use it.

The company CEO is looking to hire 2 VAs to help to free his time from time-consuming tasks. The CEO wears too many hats and needs help.

They’re currently in the “Growth” stage, and they need to provide support for lead generation, and supporting their clients, the company currently has a small work team, so there´s plenty of room for growth.

The client is looking for a tech-savvy VA with excellent English written skills. See more “Required & Ideal Qualifications” below.

Tasks required for the job

1. Lead & LinkedIn Management
– The company works with a LinkedIn lead generation system, and contacts people on LinkedIn
– As soon as anyone replies, they get added to the CRM called AirTable. They’re flagged as “replied”.
– The VA will need to read, manage, filter and reply to all contacts that come through LinkedIn messages
– Once anyone on LinkedIn replied, these leads will be marked/flagged in the AirTable CRM
– The VA needs to review the lead’s profile on LinkedIn, make sure they’re real people, and they can be actually converted into a potential client.
– The automated system is linked to https://www.oncehub.com, a system that helps the leads to automatically book a call, and that’s the main goal

2. Follow-up & Book meetings
– When leads don’t book a call automatically through the automation, so the VA will be responsible to reply to people who are interested
– When they’re interested, the VA will send an email/message with the link to book the call
– The VA will only to respond when a lead shows interested and has sent a message
– Regular “Follow-up” is not normally done (where you follow-up manually to people that don’t reply). The automated system automatically will flag those “hot” leads who need to be contacted and replied to
– The company will provide training on how to do everything
– The booked called through https://www.oncehub.com, get synced to the CEO’s calendar on Google.

3. Manage HubSpot CRM & Data Entry
– Ideally looking for a VA that knows how to use and manage a CRM
– The goal is to always make sure that the CRM contacts are always clean, up-to-date and with the correct and most relevant information
– This includes creating and making sure all the follow-up tasks saved on the CRM as up-to-date, and that the CEO does actually add follow-up tasks into the CRM, and then make sure that the CRM is actually used for its purpose as a sales tool
– The CEO/client is too busy to manage the CRM, tasks assigned to him, etc. The VA must help the CEO use the CRM properly to make sure he doesn’t miss any important clients/leads, follow-up tasks, etc.
– The CEO/client will provide training on how to clean, organize, and automate the way the CRM is used. Currently, the CRM is kind of a mess, and there’s way too much data/contacts from all over the place, and data is not properly synched between his CRM, AirTable, and other systems.
– The main goal is to make the use of the CRM more efficient and centralize all data the client owns from other systems like AirTable and ScheduleOnce/OnceHub into a main CRM/database
– The CRM tasks will also require regular data entry of clients/leads or other contacts

4. Customer Support
– Help answer any customer support emails that are received by the company
– The VA will need to reply to each client and answer their questions
– The customer support work is usually very simple, such as “resetting password”, “adding accounts”, etc.
– Other customer support tasks may include finding info and sending to clients, Simple tech-related work, Setup new users, etc
– This task is super simple, and a small percentage of the job

5. Fill-out Applications on Behalf of Clients
– Also a small task, even smaller than customer service
– When the CEO/company gets a new client, the client needs to fill out a new application for an agreement, as well as other legal documents such as a voided check, their ID, company bank statements, etc.
– The VA will need to FIRST collect all these documents, makes sure all they’re all there and organize them properly into folders or a system, and create a “Packet”
– The VA will be in charge of pre-filling the application document with all the info that was gathered from the collected documents. The documents will have most of the info that’s needed for the application
– Once we, the company, have all the documents (Packet), and the application is pre-filled by the VA, the VA will send everything to each client, the client will need to fill out the fields that are missing, sign it and then get it back to us
– The VA will then need to get all the final client’s documents, including the signed one, and create a “Finalized Packet”, which can then be submitted to a bank partner, or another entity that needs it.
– Currently, the client closes a new client per month, but he used to close one per day. The goal is to go back to closing one client per day.

Requirements:
– Excellent English written skills, as most of the work, is done in writing (not through the phone)
– MUST be computer savvy to quickly learn software and systems, including some medium-level of complexity. The client uses 5 different software systems, so must be able to easily learn how to use such systems (Training will be provided)
– The VA must be super organized and know how to manage documents, files, etc
– A great candidate must be super detailed oriented, to make sure he/she can follow instructions as needed
– The client needs someone who is NOT afraid to ask questions, ask for input, and ask the client whenever they have questions. The most important is to do quality work, so if the VA needs help, he must be willing to ask for help (NOT be afraid to do so).
– Looking for someone who’s very confident, and is not afraid to speak to people on the phone, can be friendly, yet also know to NOT take things personally if clients/leads don’t reply, etc.
– Someone who can deal with a lot of information, documents, etc.
– Looking for a long-term VA, not short-term jobs

Ideal Qualifications:
– Need a VA that has initiative, can think on his/her own, but can also take directions/input from the client
– Has experience using a CRM, or can easily learn how to use one
– Is NOT afraid to use new software/technology
– Ideally, a VA who has some e-mail marketing experience for booking calls, follow-ups, etc.
– Someone in customer service or support would be great
– A VA with experience in sales/prospecting and marketing would also be a great fit

Work Details:
– Schedule: 8 am to 12 noon Central Time
– Hours: 21 hours/week (Part-time) but looking for full-time shortly, ONLY interested in VAs available full-time, no part-timers needed at this time
Pay: $5-7/hr (depending on your experience, determined by Virtual Latinos)
