Part-time (FT Availability) Property Management VA for Investment Company

Dear Virtual Latinos,

We’re looking to hire 1 VA in the next 7 days through this job that the Virtual Latinos Agency is publishing on behalf of a new client.

Client & Short Job Description:
The client is primarily an investment company, and one of the arms of the company is doing property management in North Carolina. They buy houses, flip them (make them better), and then put them up for rent and do property management. Most of the investors, who are the property owners, are people they’ve had relations with for many years. Its a very family-oriented business, as the investors are considered part of the company’s team. They are very customer-service oriented, they treat them as a family as they want the same customers to count on them over and over for future investments.

They are looking for a bilingual VA to help with property management and help with all the clients, tenants, and contractors.  See more “Required Qualifications” below.

Tasks required for the job

1. Maintenance Coordinator
– The VA must work with the tenant who lives on a property to schedule maintenance to the property
– Maintenance team comes in to fix things for tenants
– Then visit the house, find the problem and add images/info/details into the system (via PropertyWare)
– The VA needs to assign each maintenance request to a specific vendor/contractor
– Determine what is an emergency and what’s not, and give priority to the emergency
– The VA must call and follow-up with tenants once the maintenance is completed.

2. Customer Support
– The main goal is for the VA to help collect rent from tenants
– Reply to emails & phone calls
– Picking up the phone, talking to anyone who needs help
– The client uses Google Docs/Sheets to manage all email related tasks/requests for support, questions, etc)
– The client has a VoIP phone called Grasshopper, like Google Voice, which can be accessed through the computer
– Includes talking to people who are mainly existing clients/tenants
– VA should be confident and feel comfortable talking on the phone in English

3. Create Property Management Reports
– The company uses a property management software that they use to keep track of everything related to tenants, properties, rent payments, maintenance tasks, payments plants, etc
– The VA will be asked to work with the property management to create and prepare reports of all sorts, depending on the needs of the management team
– These reports are done twice per week, doing about 3-4 reports for all of their needs
– The VA would then save the reports into Google Drive/Docs and share them with the property manager so they can see

4. Sending Rent-reminders
– Send SMS/text messages to remind all tenants about their rent payments. This is usually done 4 times per month
– It’s a very simple task, that can be done online through a website
– The goal is for the VA to also help the tenant to have a rent-payment plan.
– If they haven’t paid rent, they should talk/communicate with the tenant to decide when/how they’ll be paying rent.

5. Data Entry
– Entering new tenants/owners of properties for rent or sold/purchase
– Finding key info about each new tenant/owner
– This all goes into PropertyWare and Tops

6. Bonus Task: Calendar Management & Appointment Setting (Later)
– The VA will need to help the client/owner of the company to manage his email and his calendar
– For appointments, when a maintenance request comes in from a tenant, the VA needs to coordinate between the contractor/vendor and the tenant who lives in the units.
– It may include coordinating with multiple people, by making calls and emails
– For potential clients who want to rent a house, the client has an automated system for booking appointments, so the VA will not necessarily need to help with booking appointments with potential clients

Required Qualifications:
– The most important is to have excellent communication skills in verbal/writing skills
– Must be a VA that has resiliency, as some tenants are rude/angry on the phone. We can’t have a “very sensitive” VA, as they must be strong and firm when talking to people on the phone. Most people don’t love getting a call to remind them to pay rent. So they must NOT make it personal
– Great interpersonal skills to communicate with the team, contractors, tenants, clients, etc.
– Need someone with strong administrative experience, who know how to manage an office. This includes managing the owner and managing the owner’s time/tasks as well.
– Ability to manage projects, and work with multiple things at once
– VA must know how to prioritize tasks, use a project management system, and use web-based system
– The client currently doesn’t have a project management tool, so the VA will help to choose and implement the use of one
– Being able to work independently
– Looking for a VERY organized VA, who knows how to work with lots of things
– Looking for who can keep up with a high-paced work environment.

Work Details:
– Schedule: 8am – 2pm (with 1-hour break) Eastern Time
– Hours: 20 hours/week (4 hours a day), but looking for full-time within 1-2 months.
Pay: $5-6/hr (depending on your experience, determined by Virtual Latinos)
