We’re looking to hire 1 VA through this job that the Virtual Latinos Agency is publishing on behalf of an existing client.

Client & Short Job Description:

Corporate law firm in Texas, with 25+ years of experience. The client is a lawyer who lives in Monterrey, Mexico, but works with both US and Mexican clients. About 50% of the clients are Spanish-speaking. The company prepares business documents and contracts for clients. The team is made up of 80 attorneys, spread over 7 offices in both the US and Mexico.

The client is looking for a VA to work just with her, and not the rest of the team. Currently, she works with an assistant and a paralegal, but it has not been efficient, so she’s looking for a personal VA. The client is looking for a VA who is a self-starter and reliable person.

Tasks required for the job

1. General Legal Assistant Tasks
– Insert client information into document templates/draft documents
– Add footer, label, and save documents correctly
– Document preparation requires meticulous and careful attention to detail
– Prepare and maintain checklists for projects
– Prepare indexes and .pdf document packages
– Have a weekly or bi-weekly status meeting/project management

2. Admin Tasks
– Improve and organize the documents library, which includes a variety of legal documents, questionnaires, templates, etc.
– Manage online documents, including editing/labeling documents correctly as needed, and/or changing document names
-Have a good working knowledge of Microsoft teams, SharePoint, and similar apps for sharing information and documents. Instead of teams, could use dropbox.
– Help with email-related items.
– Prepare office reports and logs on excel

3. Spanish Translations
– Looking for a VA to review the client’s emails, when creating NEW emails in Spanish. Wants the VA to check emails for spelling/grammar in SPANISH, before she sends the emails.
– Also helpful if they can translate documents from Spanish to English
– Translations for birth certificates and other documents
– Translations of various documents from Spanish to English

Requirements:

Required Qualifications:
– Looking for a VA who can help create written documents in Microsoft Word (At a professional level). The formatting should be pretty, professional, and look very high-quality.
– Ideally, would have high-level Word skills for formatting documents, making them pretty, etc.
– A VA that is a translator would be a big bonus, but not necessary.
– Looking for a VA who can accomplish tasks, and has a “Can-do” attitude.
– Must have initiative and be a self-starter.
– Looking for a person who can follow-up, and be a VERY organized person.
– Must be able to work very closely with a person, as this is an executive assistant.
– If the VA has experience working with a law firm, or legal field with a US company, it is a BIG plus (but NOT required).
– If the VA is a lawyer, it would be a PLUS, but NOT required.

Work Details:

– Schedule: Flexible hours, but ideally from 9 am to 1 pm or 10 am to 2 pm, Central Time
– Hours: 20 hours/week
