Part-time Cold Caller & Admin for Real Estate Agent

Dear Virtual Latinos,

We’re looking to hire 1 VA through this job that the Virtual Latinos Agency is publishing on behalf of a new client.

Client & Short Job Description:

The client has been in business since September 2020, she is based in California. She has plenty of working professional experience working at a tech company, as a product manager. And after COVID she was triggered to start her own business. So she got into real estate specifically. She is just a one-person team right now while working her normal nine to five. She has been able to close some big deals, she considers herself a very tech-savvy person and loves marketing automation tools.

The client says the type of clients she works with varies, since it’s only her, it can go from 10-30 people she speaks per day.

The client is working by herself, she started her business on her own a year ago and she is ready to bring a new member and become a team with someone amazing with a great attitude!

The client is looking for a VA who can speak with sellers, and help her with the admin tasks mainly and cold calling and gradually help with SMS. The client mentions having set in place already documentation, scripts, and paperwork ready to go, she just needs a great VA that can come in and be trained and just plugin into work.

The client wants to start simple, so going from administrative tasks, she has a CRM in place, so the VA will make sure their data is clean, updated, complete incomplete records. For the remainder of the day, the VA would be cold calling, scheduling follow-ups, and schedule calls with the clients that need to speak with her.

Software the Client Currently Uses:
ReiSift Data management/CRM, she also uses Zapier for some automatizations she has in place, Google Calendar, she also uses slack for communication, and Zoom. For calls, she uses Air Call and Calltools as her dialer.

Tasks required for the job

1. Call & Qualify Leads
– Client has everything set up for the VA, the VA would only need to do is to pop in the dialer, and use the dialer and follow the script she has in place and speaks to potential clients.
– The client receives her leads through doing cold calling and SMS, and a little bit of direct mail, so the VA will be doing these calls and later on some SMS.
– Use VoIP phone (Dialpad, Google Voice, Nextiva, etc) to make calls and qualify leads
– Learn English and/or Spanish scripts to know what to say in order to qualify Leads
– Call leads generated through Social media, Reddit, Facebook Ad Campaigns, etc.
– Call and qualify leads from different sources like or
– Call and tag leads as “cold”, “warm” or “hot” based on their interest level
– Call or text potential leads over the phone and offer information about the loans that the company offers to find out who would be interested in working with the company
– Perform warm calls to verify information when the company receives an inquiry

2. Manage CRM & Data Entry
– Help the company organize, clean, update, and maintain the client’s database
– Maintain all of the communications and client data up-to-date
– Add contacts, new clients & update existing ones into the CRM system
– Verify and update the contact’s info. Get missing emails or addresses.

– Keep track of tasks using Trello or any other project management tool
– Export, consolidate, and gather data from different platforms like Trello, Facebook, FollowUpBoss, and others and manually save them
– Collect leads from different sources and put all the leads contacts in a single database or CRM sales pipeline
– If a CTE (commitment to excellence) system spreadsheet exists, add deals to it
– Update timeline information, commission, closing date, and sale price information into deal notes
– Get an inspection and appraisal dates filled into CTE
– Update CTE with all dates and contacts (escrow, lender, title, etc.) and terms
– Import leads into CRM via a CSV file or manually
– Input referrals into the CRM, and assign them one of the agents
– Save any notes from the calls into the CRM, after lead books a call
– Tag contact and input call notes. Create follow-up tasks to call contact later

3. Cold Calling
– Cold call contacts gathered by lead generation or research
– Call distressed owners or people that may want to sell their house
– Call people interested in buying/selling their house
– Add call notes to a CRM system (as needed), and/or assign hot/interested leads to another team member for additional sales follow-up
– Call the owners of the houses offering to buy them if the house has the potential to be sold
(client has already a script in place the VA will need to follow through the script)
No experience in Cold Calling is required – just a good attitude to learn as the client will provide training.

4. Follow-up with Leads & Clients
– Follow-up leads by phone, email, or text message as necessary until they say “NO”
– Perform immediate follow-up after client books a call
– Follow-up with the client/lead to making sure they show up for the phone or in-person appointment
– Follow-up with prospects/leads that didn’t show up to an appointment and make sure they reschedule
– Follow-up on clients that don’t answer and leave a voicemail or a text

5. Other General Admin Tasks
– Perform clerical work and general admin tasks related to real estate
– Filling out property information sheets
– Help the client to set up a web-based phone or google voice
– Help to set up the Google calendar, and teach the owner of the company how to use it
– Coordinate retrieval of the lockbox for where the keys to the house were stored (if representing seller).
– Coordinate someone to walk through the property to ensure everything is as expected
– Organize all clients’ files required for loan applications
– Gather and organize all necessary documents for a sales/purchase
– Track timelines for purchase & listing agreement(s)
– Customize letters using templates
– Order closing gifts. A gift for the buyer for closing the purchase of a house/property
– Prepare board packages
– Basic bookkeeping. Create quotes/invoices to send to the company’s leads & clients

6. Lead Generation & List Building
– VA will be helping out with specific spreadsheets and will help the client to find the phone numbers of leads, this task would only be performed if there’s time
– Help to find local businesses by doing online research
– Build Excel/Google sheets with basic contact info
– Sort list that can be turned into a CSV file to upload on any CRM or email software
– Reach out to law offices that do real estate transactions who may be interested in partnering
– Reach out to title insurance companies who may be interested in partnering

Ideal Requirements
A) Communication & Language
Excellent verbal English and Spanish skills. Must be able to communicate clearly and effectively; The VA should have total fluency and not have to think of what to say, words should come out very naturally but no need to have a native accent in addition to advanced writing skills and vocabulary.; Comfortable with making calls and know how to properly communicate with clients.; Great phone personality, be able to be stern and to handle objections, and answer any questions.; Great customer service skills. Must be super friendly and personable on the phone.; Have great “emotional intelligence”, who can understand each customer’s situation.

B) Creativity & Proactiveness
Self-starter, proactive and innovative.; Should be “coachable”, willing to learn new skills, and can follow directions.; Not afraid to ask questions, know when to ask for help when needed.; Quick learner, willing to learn new things, and able to pick up issues/problems fast.; Take ownership, have a great attitude to get things done.

C) People & Relationship
Easy to speak with and a good listener.; Supportive, and always be willing to help.; Great customer skills. Really good with people and friendly.; Must be able to separate “Business from emotions” as clients can get very passionate, and it’s important for the VA to remember that in the end, it’s just work.; Someone that is open to feedback without being offended, willing to make mistakes, and be ok when the company tells them how to improve.

D) Work Load & Stress Management
Project management experience, good at setting timelines, deadlines and fulfilling expectations.; Able to manage stressful situations without affecting them on a personal level.; Must be extremely organized and detail-oriented.; Comfortable with a fast-paced and changing environment.; Great note-taking and notation skills (in writing by hand and/or on the computer).

E) Technology & Software
Must have experience with documents management on Google Drive/ Dropbox.; Should have experience with Microsoft Excel and the overall Microsoft Office.; Should have experience using a CRM like Salesforce or other.

Additional Requirements:
The main requirement is to have someone with a go-getter mentality that can work with others, as they will be a small team.

Work Details:

– Schedule: Tuesday and Thursday: 12 PM – 4 PM PT, and Saturday: 10 AM-2 PM PT
– Hours: 12 hours/week
Pay: $6-7/hr Part-time ($5-6/hr if it becomes Full-time). Rates are depending on your experience, determined by Virtual Latinos.
