Client & Short Job Description:
Professional Business Services (Bookkeeping, financial services, accounting, consultants, IT services, etc). The client started the business 5 years ago, they do the work by themselves, they are looking for a VA that can help with the operational job, they are looking for someone trustable.
PayDiverse utilizes the company’s unique network of 50+ bank partners to help low- and high-risk merchants apply for and get approved for merchant accounts. A merchant account enables merchants to collect credit card payments from their customers. On a daily basis, they “pre-vet” new merchant leads to their network of bank partners to identify which bank options they have for each merchant. Then we work with the merchant to gather their supporting documentation and submit a full application package to the best bank options.
They’re looking for a virtual assistant to complete projects that are anticipated to require approximately {10} hours per week to start, and increasing after they’ve been trained.
The work will include the following:
– Map fields in their Salesforce CRM to PDF templates in Adobe Acrobat
– Document procedures in Google Docs with clear instructions and annotated screenshots
– Update CRM records
– Manage inbox and track responses in CRM
– Communicate with banks and merchants via email, phone, and SMS
– Set up a payment gateway for merchants

Tasks required for the job
1. Customer Service & Support
– Reply to emails & phone calls
– Pick up the phone, talk to anyone who needs help
– Report and add any support related issues into CRM System
– Use a VOIP phone (Internet phone) provided by the client, which can be accessed through the computer for inbound/outbound calls
– Talk to people who are mainly existing clients, as well as new potential ones
– Answer calls from new people requesting information
– Follow-up calls with leads, vendors, clients, etc.
– Leads management (filter and sort leads of potential new clients)
2. Manage CRM & Data Entry
– Convert files into digital format in Excel sheets
– Help the company organize, clean, update, and maintain the client’s database
– Maintain all of the communications and client data up-to-date
– Add new clients & update existing ones into the CRM system
– Process and handle customer support orders and/or tickets
– Repetitive data entry (entering online payments or uploading invoices received from vendors)
– Create and publish jobs, events, listings, etc on 3rd party sites: Facebook, Craigslist, etc
3. Organize Digital Files
– Upload/organize files into web-based systems (Dropbox, Google Drive, etc)
– Re-organize files based on products/services/categories
– Make sure that info is always up-to-date
– Organize and input files by product, service, or client
4. Other General Admin Tasks
– Update spreadsheets
– Email sorting and organization
– Take notes during team/client meetings, organizing minutes
– Generate reports related to given/provided data
– Create PowerPoint/Google Slide presentations
– Other general admin tasks as needed by the company/client
5. Cold Calling
– Cold call contacts gathered by lead generation or research
– Call & qualify leads into interested or not interested, or cold, warm, hot, etc.
– Add call notes to a CRM system (as needed), and/or assign hot/interested leads to another team member for additional sales follow-up
6. Warm Calling Existing Leads
– Call over the phone to existing leads the company already has
– Speak with each lead, take notes and then add them to the CRM
7. Follow-up with Leads & Potential Clients
– Create follow-up email templates
– Follow-up with potential customers to answer questions and set up demos
– Follow-up by email or text messages
– Follow up with leads/clients an infinite number of times until they reply
– Follow up with prospects/leads that did NOT show up to an appointment, so make sure they reschedule

Required Qualifications:
– Great English communication skills via phone, email, and text
– Strong knowledge of Google Sheets
– Experience working with Salesforce and Adobe Acrobat
– Strong organizational skills and ability to manage multiple projects simultaneously
– Experience working with confidential information and sensitive data
– Experience/comfortable with admin and sales tasks
Ideal Requirements:
A) Communication & Language
Excellent written English and Spanish skills. Must be able to draft and send emails and messages to clients.; Excellent verbal English and Spanish skills. Must be able to communicate clearly and effectively.; The VA should have total fluency and not have to think of what to say, words should come out very naturally but no need to have a native accent in addition to advanced writing skills and vocabulary.; Must have a great memory, be able to remember clients, and/or follow scripts.; Comfortable with making calls and know how to properly communicate with clients.; Ideally looking for someone super friendly, cool, and interesting.
B) Creativity & Proactiveness
Should be “coachable”, willing to learn new skills, and can follow directions.; Not afraid to ask questions, know when to ask for help when needed.; Quick learner, willing to learn new things, and able to pick up issues/problems fast.; Take ownership, have a great attitude to get things done.; Must know how to propose solutions to problems and be super helpful.
C) People & Relationship
Supportive, and always be willing to help.; Great customer skills. Really good with people and friendly.; Outgoing person able to communicate and interact with a variety of people.; Must be able to separate “Business from emotions” as clients can get very passionate, and it’s important for the VA to remember that in the end, it’s just work.; Someone that is open to feedback without being offended, willing to make mistakes, and be ok when the company tells them how to improve.
D) Work Load & Stress Management
Project management experience, good at setting timelines, deadlines and fulfilling expectations.; Must be extremely organized and detail-oriented.; Great note-taking and notation skills (in writing by hand and/or on the computer).; Should be very hard-working, comfortable with having a lot to do all the time.; Great multi-tasker, able to prioritize and have great time management skills.
E) Technology & Software
Computer savvy, able to teach systems and software to others.; Should have experience with Microsoft Excel and the overall Microsoft Office.; Should have experience using a CRM like Salesforce or other.
Additional Requirements:
– Must understand the importance of handling sensitive personal customer data
– Google Sheets basic experience
– Someone who can work independently, resourceful to find things on their own
– Able to document procedures, and suggest better ways of doing them
– Basic experience with Adobe Acrobat for editing PDFs
Work Details:
-Schedule: Felxible within 12pm-6pm EST
-Hours: To start with 10hrs/week, this would increase to 20 hours a week after the VA is trained, (opportunity to increase hours after that if available)
