Part-time Bookkeeping VA for Property Management Company

Dear Virtual Latinos,

We’re looking to hire 1 VA in the next 7 days through this job that the Virtual Latinos Agency is publishing on behalf of an existing client.

Client & Short Job Description:
The client owns a property management company and is currently working with a Virtual Latinos VA. He is now looking for another VA to help him bookkeeping related tasks.

The client will provide web-based video training to learn the property management system the company uses. The VA will first need to learn how to do the tasks needed for the job. The client is using the software called PropertyWare

Tasks required for the job

1. Verify that payments & bills have been paid
– The VA would log into PropertyWare and run a report to check that each tenant has paid, and who has not
– If a tenant has not paid rent, the VA would need to flag them
– The VA would then need to send an email reminder for them to pay. A call is not necessary unless they’re really late and there’s a collection problem.
– The software will already have the necessary template emails to send, which will include the tenant’s full information, etc..

2. Management of fee calculations
– The VA will be in charge of calculating the total monthly property management fee to be charged to the property owner.
– The fee is calculated based on the rent paid, as well as any other costs incurred by the tenant, such as repairs, gardening, home owners’ association, updates to the property, etc.
– The company charges different rates based on different things managed for the property
– The VA will calculate all of these fees using PropertyWare software.

3. Pay rent to property owners
– The VA would need to pay property owners their rent owned once a month. Yet, clients get paid in different schedules, so the VA would need to do this 2-3 times a month. Owners are paid via e-payments, and some also by check.
– The payment is called “Owners draw”, where the property management company
– Owners draw payments cannot be done until all other steps (mentioned below) are completed.

4. Send monthly reports to each property owner
– Create a monthly report for each property using the software
– Once a month, send the report by email, as an attachment to each property owner

5. Calculate property taxes owned by owners
– Once the VA has some experience working with the company, they’ll be asked to do this additional task of calculating the California tax board taxes.
– The VA would need to run the software, and input the necessary numbers of the payments collected for rent, and figure out how much tax needs to be paid to California. The property management company needs to then withhold taxes on behalf of the property owners, etc.
– The VA would be taught how to do this, it’s not very hard, but it will be done at a later time.
– Any VA that can use a computer and any accounting software will have no problem to do this.

6. Create Manual Accounting Journal Entries
– It is NOT a requirement that the VA has prior experience with accounting or journal entries, but would be ideal
– Although they will not do right away, eventually the company would like them to do manual accounting journal entries.
– These journal entries are manual in order to adjust the client’s accounting books

Required Qualifications:
– Must be a very computer savvy person
– Learn how to use software very quickly
– Looking for a dependable VA  who is looking for a long-term job, not just a temporary position
– Must have at least a few years of work experience (3+)

Work Details:
– Schedule: 40 hours/month – Divided into 5 days a month (8hrs/day)
– Hours: 40 hours/month (Part-time), the VA will be needed 1-2 days the 10th, 15th, and 25th of each month
Pay: $6-8/hr (depending on your experience, determined by Virtual Latinos)
