Hiring Part-time VA for Catering Company in LA

Dear Virtual Latinos,

We’re looking to hire 1 VA in the next 7 days through this job that the Virtual Latinos Agency is publishing on behalf of an existing client of ours.

Client & Short Job Description:
The client has a catering and food company in Los Angeles, California. The company is looking for a VA who can help with a variety of administrative tasks related to managing new catering sales, managing the catering events, customer support, and potentially managing vendors/contractors and maybe some simple bookkeeping.

The client is ideally looking for VAs who is looking for long-term work, is willing to learn a lot of new things, and ideally may have some experience with bookkeeping (NOT required, training will be provided).

Tasks required for the job

1. Catering and correspondence (Project manager)
– The client’s leads come from his website, where they fill out a form requesting more info about the client’s catering/food services. The VA would need to read the requests, and process them
– Once the VA review the request, they’ll have to manually send by email the right catering package they suggest for the lead, based on the lead’s  needs
– VA should also be responsible for responding to client’s emails/inquiries/requests
– Setup times to follow-up by phone with leads/clients to answer any question about packages sent + guide them through the process of selecting the right food/catering/package
– After a client books them, the VA would have to generate things in the calendar, to notify the client about what’s in the calendar (coming up), be able to generate event detail sheets ( A simple document that lists the things needed for the catering events:  Such as the food Menu, #of people, location, time, loading time, contact person, any specific instructions that are project-specific, special requests, etc).
– Manage the catering agenda: Every week, the VA would also need to notify the client’s catering team, via the boss, about the events scheduled for the next 2 weeks so that the cooking team can prepare the food accordingly

2. Customer Service + Follow-ups
– Customer service calls/emails with the actual clients who are book catering
– Potentially also handle any 3rd party vendors, who may sell/work with the client
– The VA would need to work independently, and check with the client/boss several times a week.
– The boss doesn’t want to be checking emails all-day, so the VA would be in charge
– The VA needs to keep track of all questions from clients, etc. Then make any notes in the CRM.
– Company/Client uses a CRM called:, where they do basic contacts management and some automated workflows (That’s already set up). Example: Workflow for services, so when a client fills out a form on the website, the CRM triggers a workflow and specific type of proposals be sent, etc.
– The VA would need to help the client with managing the CRM and automation workflows, updating them as needed, optimizing, etc. Training will be provided if needed, but ideally the VA would have previous CRM/workflow management knowledge or be willing to learn on his own.
– Dubsado automatically generates invoices when the client choses a catering package, but the client can’t make changes. Thus, if a client needs help/wants changes, they would call the company and the VA would need to go into the CRM to make changes, etc.

3. Bookkeeping: Ideal, but not Required
– The client uses Quickbooks online, and would like help with bookkeeping tasks such as editing/sending invoices, creating quotes, saving receipts, etc.

Ideal qualifications:
● Super open-minded, willing to learn new things
● Looking for someone who wants to grow with the company
● Must be 100% RELIABLE and Trustworthy
● MOST IMPORTANT: Have integrity, and the right ethics, own it if you make a mistake. Be committed to do the right thing and be honest and transparent.
● Grammar and written English is VERY important
● Computer savvy, able to use the Internet for general online research
● Someone who is NOT afraid to say “I don’t know how to do X”, someone who can be honest and knows how to ask for help, and willing to ask.
● The client is looking process improvement minded, who is able to suggest better ways to do things, and improve the client’s work and processes


Work Details:
-Schedule: Variable, based on catering schedules
-Communication: Various methods
-Pay offered: $6-8 USD/hr (Will depend on your experience)
-Hours required: 10-20 per week (10/week to start with)
