Full-time Virtual Assistant for Property Management in San Diego, CA

Dear Virtual Latinos,

We’re looking to hire 1 VA in the next 7 days through this job that the Virtual Latinos Agency is publishing on behalf of a new client.

Client & Short Job Description:
The client owns a Property Management company in San Diego, CA and is looking for a virtual assistant who can help him manage a list of various tasks. He is very busy and needs a lot of help with a list of tasks, specifically coordinating the maintenance of the properties, organizing files, customer support, and other related tasks.

The client is ideally looking for a VA who has previous experience with property management (but not mandatory) and has great English skills. See more “Ideal qualifications” below.

Property Management Software client uses:

– Appfolio.com – Property Management, Maintenace Requests & Document Management
– TenantTurner.com – Scheduling with tenants

 

Tasks required for the job

1. Customer Support / New Leads / Appointment Setting
– Take care of replying and getting in touch with all the new people interested in renting a house/apt
– Spend time explaining new tenants about the process to apply for renting, and about the application process, and when yes/no to apply (and spend $45 for processing fee).
– Teach/explain to the potential tenants about the renting process, if they’ll qualify to rent or not
– Includes doing follow-up AFTER the showing of the property/house/apt with tenants to see if they’re still interested
– Handling the phone and E-mail.

2. Maintenance Coordinator
– Maintenance crew comes in to fix things for tenants
– The Maintenance crews need to be found, sent to the tenant, get a quote,
– Then visit the house, find the problem and add images/info/details into the system (via AppFolio)
– The client most of the time approves $500 or less/request from tenant. It depends on each property has a cap.
– The VA needs to assign each maintenance request to a specific vendor/contractor + look for owners approval in order to proceed with maintenance
– VA must take very detailed notes of each maintenance request and add to the system
– Determine what is an emergency and what’s not, and give priority to the emergency

3. Data Entry
– Entering new tenants/owners or properties for rent or sold/purchase
– Key info about each new tenant/owner
– This all goes into AppFolio
– Adding properties into Craiglist and other sites, including social media to help promote properties

 

Required qualifications:
– Great English verbal skills, a VA that’s easy to understand over the phone
– Must be very organized and used to collecting data and organizing it digitally
– Must feel comfortable working with different and new software
– A long-term team member, not someone for short term
– Wants them to get to know the customer and company, not just “log work hours”
– They need a VA that’s really part of the team, a REAL team player
– Someone who wants to build their career, and be working for at least 12+ months

 

Work Details:
– Schedule:  9am to 6pm (1-hour lunch break) Pacific time, California
– Hours: 40 hours/week (Full-time)
– Payment offered: $5/hr
– Communication: The client will put a live camera, so they can be part of the team and see the live office
