We’re looking to hire 1 VA through this job that the Virtual Latinos Agency is publishing on behalf of a new client.

Client & Short Job Description:

Business Services company with 3+ years of experience focused on offering business advice and consulting services for truckers looking to form a legal LLC company for their trucking business, as well as dispatching services where they work with owner-operators and small fleets to become a back-office extension of their operations by finding top paying, quality freight. Some of those services include helping owner-operators form their LLC, get all their permits for their trucks on the road, get the special license plates for trucks, etc.

For now, the team is made up only of the owner, but he’s looking for help to grow the operations, and be able to expand the company. The owner has a full-time job (40 hours/week) but wants to grow this company in order to quit his job and focus 100% of his time on this new company he created.

Tasks required for the job

1. Customer Service & Support
– Elevate UC is the company’s main VOIP for making/receiving calls.
– Reply to emails & phone calls
– Pick up the phone, talk to anyone who needs help
– Report and add any support related issues into CRM System
– Use a VOIP phone (Internet phone) provided by the client, which can be accessed through the computer for inbound/outbound calls
– Talk to people who are mainly existing clients, as well as new potential ones
– Answer calls from new people requesting information
– Follow-up calls with leads, vendors, clients, etc.
– Leads management (filter and sort leads of potential new clients)

2. Manage CRM & Data Entry
– The company has used HubSpot for their CRM, but looking into switching into Zoho CRM
– Convert files into digital format in Excel sheets
– Help the company organize, clean, update, and maintain the client’s database
– Maintain all of the communications and client data up-to-date
– Add new clients & update existing ones into the CRM system
– Process and handle customer support orders and/or tickets
– Repetitive data entry (entering online payments or uploading invoices received from vendors)
– Create and publish jobs, events, listings, etc on 3rd party sites: Facebook, Craigslist, etc

3. Calendar Management & Appointment Setting
– Company uses Microsoft Office 365 for its calendar
– Pre-screen new potential clients, and make sure they’re the right fit to be clients
– Help the client/owner of the company to manage his/her email and calendar
– Prioritize emails, respond to emails, set up email filtering, and delete spam email or other unimportant emails
– Coordinate with multiple people by making calls and handling email
– Set up automatic bookings online, and share booking link with clients as needed

4. General Research
– The VA will need to do general research about the transportation industry, and related topics
– Online competitors research
– Search for supplier/vendors information to contact
– Online research for events for the client to attend or participate
– Help with flight/travel research & online booking

5. Other General Admin Tasks
– Update spreadsheets
– Email sorting and organization
– Take notes during team/client meetings, organizing minutes
– Generate reports related to given/provided data
– Create PowerPoint/Google Slide presentations
– Other general admin tasks as needed by the company/client

6. Warm Calling Existing Leads
– Call over the phone to existing leads the company already has
– Speak with each lead, take notes and then add them to the CRM

7. Follow-up with Leads & Potential Clients
– Create follow-up email templates
– Follow-up with potential customers to answer questions and set up demos
– Follow-up by email or text messages
– Follow up with leads/clients an infinite number of times until they reply
– Follow up with prospects/leads that did NOT show up to an appointment, so make sure they reschedule

8. Prepare estimates
– The VA will help create, setup and send estimate using Quickbooks online
– The company currently creates 5-10 estimates per week
– Training will be provided as needed

Work Details:
– Schedule: 6 hours/day, M-F 9 am – 4 pm Central Time, with 1-hour break.
– Hours: 31 hours/week
