Full-time Customer Follow-up VA for Real Estate Company in Canada

Dear Virtual Latinos,

We’re looking to hire 1 VA in the next 7 days through this job that the Virtual Latinos Agency is publishing on behalf of a new client.

Client & Short Job Description:

The client is a Real Estate investor who also has a property management company that manages 100+ properties. They’re mostly looking for a VA to manage their property management company. They also offer training and mentoring services. The company has been in business for about 7 years, and they manage around 150 units/properties. The VA will be the first point of contact for their current clients/tenants and new potential clients.

The client is looking for a VA with great people skills and excellent spoken English. See more “Ideal Requirements” below.

Tasks required for the job

1. Immediate Follow-up After a Client Books a Call
– Being able to call new potential clients that can call within 5 minutes.
– They need to make it sound exciting and congratulate them on “Taking action” in getting into the mentoring program that the company offers.
– Training will be provided, to teach the VA how to make the calls and speak to the new leads.
– The company will record a few videos of how they do the calls, and will also provide those as training.
– The client uses the VoIP phone called: https://www.pcsvoip.com/
– The VA would save any notes from the calls into the ActiveCampaign CRM, after a lead books the call through Calendly.com
– The purpose of the call is to confirm if the spouse can be there (Husband and Wife together, or all decision-makers), if the client has $10,000 USD in liquid cash, confirm they have the Zoom link for the call, etc.
– Assuming it is all ok, they’ll just say goodbye, congratulations, and thank you.

2. General Follow-up
– Follow-up call with people who didn’t show up to the initial scheduled call.
– It could also be follow-up with people who said they didn’t have the money yet but might have it later. So the VA can call to offer a special deal.
– As the VA grows in this position, they’ll be offered to do various tasks related to getting in touch with the potential leads that haven’t converted into paying clients yet.
– At this time, the company doesn’t have a service to upsell to existing clients but would like to get there with time.
– Generally speaking, the follow-up will be primarily by phone, but also by email and text message.

3. Customers Service: Replying to Emails & Social Media Messages
– The company gets a lot of emails asking questions, such as “Do you offer free training”, or “where can I find the link to the meeting”, or “I want to learn more about the training program”.
– The VA would ideally have time to reply to these messages, mostly by email, as they come in.
– If the VA has time, they will also answer comments on YouTube, Facebook, Instagram, and LinkedIn (or every platform the company is on).
– The company will provide training on how to do this.

4. General Admin Tasks
– As needed, if the VA is not busy full-time, they’ll be asked to help with other admin tasks.
– The company will ask the VA to help with other general admin, basic marketing, or tasks.

Ideal Requirements:
– Looking for someone who is VERY FLEXIBLE with their schedule, so they can complete their 40 hours/week in various hours of the day.
– This may include a few hours on the weekends, as necessary (based on demand), but will be determined on a case-by-case basis with the VA (NOT Required).
– A VA that will sound super enthusiastic on the phone, after someone books an appointment. Must sound friendly and authentic on the phone.
– Bubbly personality (Not dry), super energetic, happy, etc.
– The ideal age range for this could be 30+ years old, or sound and be mature – yet friendly on the phone. Looking for someone that’s more experience in the business (NOT required).
– Someone with a Sales background would be great in this role, as they’ll speak to the people who booked a call to chat and learn more about the company’s services.
– MUST be very well-spoken in English, which means excellent verbal English skills, and can speak fluently.
– Should have the slightest English accent possible, and sound as native as possible.
– If possible, someone with a native American English accent would be ideal, but not required.

Work Details:
– Schedule: Very flexible (read above), but 8 am to 5 pm (with 1-hour break) would be the typical (EDT)
– Hours: 30-40/week, but ideally 40 hours/week
– Pay: $6-8/hr (depending on your experience, determined by Virtual Latinos)
